Enquiries from portals and websites are captured, checked for completeness, matched to properties and routed by transparent rules. AI can structure content or draft replies; prioritization criteria and CRM write access remain reviewable.
Phone and chat
AI phone assistants can capture intent, prepare appointments and produce call summaries. AI chatbots answer approved questions. Both need clear system identity, escalation to people, and rules for emergencies or sensitive requests.
Process automation can connect listing approvals, viewing appointments, document requests, maintenance reports, contractor handoffs and status messages. Each flow receives states, deadlines, accountable roles, failure paths and manual entry points.
Custom software connects portal, CRM, DMS, calendars, telephony and specialist systems through documented interfaces. Logs expose which data and rules caused an action. Personal data, retention, vendors and data flows require review for actual setup; suitability under GDPR depends on that setup.
